Development Associate

About the Cambridge Public Library Foundation
The Cambridge Public Library Foundation enhances the Library’s innovation and capacity, helping to address emerging community needs through private support. Since its inception in 2015, the Foundation has helped the Library reach thousands of children and adults at risk of low literacy, engage our senior community in the creative arts, propel the Library’s technological capacity and offerings, create forums for public discourse and democracy, and provide rich cultural experiences that would otherwise be outside the Library’s annual budget.

Summary
The Foundation seeks a team player looking to build a career in nonprofit fundraising and marketing. Under the direction of the Foundation Director, the Development Associate is responsible for maintaining the accuracy and integrity of donor data, coordinating large and small cultivation and fundraising events, managing logistics for two appeals, generating original social media content, maintaining and updating the Foundation website, and supporting meetings of the Board of Directors and its committees. This full-time position will be primarily remote for first few months, with required weekly visits to the office in Cambridge to pick up and process gifts.

Essential Duties and Responsibilities
The essential functions include, but are not limited to the following:

Administration and Finance
  • Ensure accurate tracking of all gifts, donors, and event attendees, maintaining integrity of donor database.
  • Produce pledge reminders and timely acknowledgement letters.
  • Create, revise and distribute monthly development reports and other list exports.
  • Deposit checks and work with Foundation Controller to ensure all income and expenses are properly coded and processed.
  • Participate and assist in monthly reconciliation of donations, bank deposits and expenses.
  • Ensure accurate filing of paperwork for individual, corporate, foundation and matching gifts.
  • Support all meetings the Foundation Board of Directors and its Committees, including preparing materials, scheduling and coordinating meeting logistics, and taking and distributing meeting minutes.
  • Field all general telephone calls and email requests.

Events and Marketing
  • Execute event registration and provide logistical and administrative support for large and small scale fundraising and cultivation events; attend events as appropriate.
  • Provide vision for and enrich the Foundation’s website and social media presence with new original content.
  • Draft and coordinate the distribution of marketing emails in Constant Contact.
  • Coordinate the creation and distribution of the Foundation’s Annual Report (September) and other publications.
  • Recruit, train and manage volunteers to help execute some event and marketing functions.

Annual Fund
  • Oversee execution of appeal solicitations (fall and spring).
  • Develop solicitation calendar in conjunction with events and the distribution of other marketing materials.
  • Work with Foundation Director to create mailings based on established annual strategy and messaging, identify prospects and build solicitation lists.

Minimum Qualifications
  • 2-5 years of experience in development and fundraising.
  • Excellent oral and written communication skills, interpersonal skills and problem-solving.
  • Superior database management skills and working knowledge of donor software (DonorPerfect or Blackbaud preferable).
  • Attention to detail with an exceptional level of accuracy and track record of reliability, confidentiality and conscientious work habits.
  • Experience managing complex projects from start to finish, and ability to work independently.
  • Active social media user with experience building non-profit or company profiles.
  • Proficiency with Microsoft Office including Outlook, Word, Excel and PowerPoint.
  • Bachelor’s Degree.
  • Some experience with web-building software preferred.
  • Desire to be part of a fun, engaged and fast-paced team environment.
  • Love of and passion for libraries!
Compensation
Compensation to commensurate with experience. $40,000-$50,000 salary with three weeks of paid vacation and 12 paid sick days annually. Stipend for benefits may be available.

Work Environment

This position is currently remote but will require weekly office visits to the Library’s Main Branch in Cambridge. Some evening and weekend work may be required to support Foundation events and goals.
